URBANIS is the trading name used by Demenashe e Rabinovich, Lda., company number 518 355 462, holder of Portuguese real-estate mediation licence AMI 24596, with registered office at Rua do Campo Lindo, no. 340, 2nd Floor, 4200-144 Porto, and a public office at Rua Dr. António dos Santos, no. 131, Cais 643, 4425-072 Porto.
For the purposes of the General Data Protection Regulation ("GDPR"), Demenashe e Rabinovich, Lda. is the controller of the personal data collected through its websites.

Scope of this Policy
This Policy explains how we process personal data collected through URBANIS’s websites, namely the main website (https://urbanispt.com/) and the property website (together, the "website"). It does not cover data received from consultants, agents or partners outside the website, nor processing carried out by third-party websites that may be linked from this site.
What data we process
Depending on the form you use, we may process:
- first name and surname
- email address and telephone number
- message, subject and selected department or area
- location or address you voluntarily provide
- parameters associated with the source of your enquiry (UTM)
- the date, time and time zone of submission
- technical data normally transmitted when connecting to a website, including your IP address and basic browser or device information
- if you consent under the "Analytics" category, data about how you use the website (for example, pages visited, clicks, scrolling and mouse movements, visit duration and source, cookie identifiers and approximate location)
- if you use our AI chat assistant (Aura), the messages you send it, which may include your name, contact details, and details about your real estate need such as property type, area, timeline, and an approximate budget or financing situation, where you choose to share them
We do not request identity documents, immigration data or special categories of personal data through these forms. If you use our AI chat assistant, it may ask about your approximate budget or financing situation as part of understanding a real estate enquiry; you are never required to answer, and you can continue without doing so.
What we use your data for and on what basis
We use your personal data to:
- respond to your messages and enquiries, and take any pre-contractual steps you request, based on our legitimate interest in managing the enquiries we receive and, where applicable, on the fact that those steps were requested by you
- provide and coordinate the services you request, based on pre-contractual steps or on the performance of a contract, as applicable
- keep this website secure and prevent misuse, based on our legitimate interest and, for Google reCAPTCHA, on your consent
- analyse, on a statistical basis, how the website is used and improve its operation and content, through Google Analytics 4 and Microsoft Clarity, based on your consent
- comply with legal obligations to which we are subject
Do you have to provide your data?
No. However, fields marked as mandatory on the forms are necessary for us to receive and process your request; if you do not provide them, we may be unable to respond to you or provide the requested service.
Cookies, localStorage, analytics and Google reCAPTCHA
We use localStorage to store, on your own device, your consent choice, theme, accessibility preferences, language and, where applicable, a temporary contact-form draft that is not sent to us unless you submit the form. Details of each technology, its purpose and duration are set out in our Cookie Policy.
If you consent under the "Analytics" category, we use Google Tag Manager to load Google Analytics 4 and Microsoft Clarity, which help us understand how the website is used. Microsoft Clarity records how you interact with the pages (for example, clicks, scrolling and mouse movements) to produce heatmaps and session replays; Microsoft Clarity is configured not to collect the content entered into form fields. Without your consent, none of these tools is loaded. You may change or withdraw your consent at any time, with effect for the future, through the cookie settings available on the website.
On the main website, protected forms use Google reCAPTCHA to help prevent spam and misuse. reCAPTCHA is only loaded if you consent under the "Security" category and when you attempt to submit one of those forms; this technology may process technical data and use cookies controlled by Google, subject to its own terms and privacy policy. If you do not give that consent, reCAPTCHA is not loaded and you can contact us by email or WhatsApp. The property website does not use reCAPTCHA.
Who can access your data
Your data may be accessed by duly authorised URBANIS staff, in the performance of their duties.
We use service providers that may process personal data on our behalf and in accordance with our instructions, under agreements that include, where applicable, the terms required by Article 28 GDPR, namely: Google Ireland Limited, which provides the email service (Google Workspace) for geral@urbanispt.com, and providers of website hosting, technical maintenance and backups.
If you consent under the "Analytics" category (section 7), browsing data is also processed by Google Ireland Limited (Google Tag Manager and Google Analytics 4) and Microsoft Ireland Operations Limited (Microsoft Clarity).
The Google group entities that provide Google Fonts and, if you consent, Google reCAPTCHA may also receive technical data, including your IP address, to the extent necessary to provide those services.
If you use our AI chat assistant, your messages are processed by OpenAI, L.L.C., which provides the underlying AI technology, subject to OpenAI’s own terms and privacy policy.
International transfers
Google and Microsoft belong to groups headquartered in the United States, so data processed through their services (section 8) may be transferred to, or accessed from, the US. These transfers are based on the European Commission’s adequacy decision on the EU-US Data Privacy Framework, under which Google LLC and Microsoft Corporation are certified, and, where applicable, on standard contractual clauses approved by the European Commission. Where other providers referred to in section 8 process personal data outside the European Economic Area, we will apply the transfer mechanism required by the GDPR for the country and recipient concerned, namely a European Commission adequacy decision or appropriate safeguards under Article 46 GDPR, such as standard contractual clauses approved by the European Commission. You may request information about the applicable transfer mechanism and safeguards at geral@urbanispt.com.
How long we keep your data
Personal data submitted through the forms and the associated metadata are retained for 2 (two) years from the submission date. If your enquiry leads to a contractual relationship with us, the data will then be retained for the legal and contractual periods applicable to that relationship, which may exceed two years. After the applicable period, the data will be deleted or anonymised, unless longer retention is required by law or necessary for the establishment, exercise or defence of legal claims.
Analytics data is retained in Google Analytics for up to 14 months and in Microsoft Clarity for up to 9 months. Data used for session replays is generally retained for 30 days, although marked replays may be retained for up to 9 months.
Preferences stored in your browser follow the periods set out in our Cookie Policy.
Conversations with our AI chat assistant are stored for up to 12 months of inactivity, so that you can resume them and for quality review, after which they are automatically deleted. If you would like a conversation deleted sooner, write to geral@urbanispt.com.
Security
We adopt reasonable and appropriate technical and organisational measures to protect personal data against unauthorised access, unlawful use, loss, alteration or destruction. However, no website or transmission method can guarantee absolute security.
Your rights
You may request access to your personal data, its rectification or erasure, restriction of processing, data portability and objection to certain processing. Where processing is based on consent, you may withdraw it at any time, without affecting the lawfulness of processing already carried out.
The exercise of these rights may be subject to the limits and conditions provided by law. You may exercise them by writing to geral@urbanispt.com; we may ask you for additional information to confirm your identity.
Complaints
If you believe your personal data has not been handled properly, you may lodge a complaint with the Portuguese Data Protection Authority (CNPD), without prejudice to any other administrative or judicial remedy.
